Job Description
BAM (Brooklyn Academy of Music) is a multi-disciplinary arts center located in Brooklyn, New York. With world-renowned programming in theater, dance, music, opera, film, and much more, BAM showcases the work of emerging artists and innovative modern masters.
The Development Operations Assistant’s main function is to process and track contributions to BAM and create lists for Development emails, direct mail, and telefund.
Essential Duties and Responsibilities
Track contributions, ensure they are processed correctly, and mail receipts and acknowledgement letters in a timely manner.
Build accurate lists in Tessitura for Development emails, direct mail, and telefund.
Aid department in additional administrative tasks as requested.
Work closely with Finance Department to accurately and efficiently process all contributions to BAM (with the exception of BAM Memberships). This includes major gifts, corporate sponsors, special campaigns, gala tickets, and Board gifts
Notify Development staff of money received on a daily basis
Review all donor information, coding, and Tessitura Plans during processing to ensure gifts are entered and receipted correctly
Scan and save all contribution forms, receipts, and back-up materials in individual donor’s files
Print and mail all tax-deductible receipts in a timely manner
Build lists in Tessitura for Development communications (emails, direct mail, and telefund) and route lists to appropriate staff for approval
Manage and execute the telefund lead schedule and weekly batch delivery
Update contact information and merging duplicate accounts as necessary to ensure and promote good data health practices
Serve as secondary resource for Development Department Tessitura expertise
Provide additional support to Membership & Operations department as needed
Provide inter- and intra-departmental support as necessary, particularly during institution-wide, individual-based cultivation events and stewarding
Minimum Qualifications
Bachelor’s Degree or equivalent work experience
1-2 years of previous work experience, preferably in the performing arts or other non-profit organization
Excellent writing and communication skills
Excellent interpersonal and organizational skills
High attention to detail
Computer literacy/technologically savvy a must (PC, Microsoft Office Suite)
Database knowledge (Tessitura or other fundraising database preferred)
Professional, enthusiastic, and self-motivated
Ability to work in a fast-paced environment
Ability to manage and prioritize multiple deadlines simultaneously
