Job Description

We are looking for a rockstar Office Coordinator that will join our Global Workplace Services team in Downtown Los Angeles! This individual will take a great deal of pride in ensuring the smooth operation of Spotify’s office. As a part of the Global Workplace Services team, you will be in charge of keeping our space tidy, organized, operational, and assuring the staff’s facilities related needs/requests are adhered to.

What You’ll Do

  • Oversee office vendors to make sure the scope of work is being maintained

  • Procure, stock and organize all office supplies in each supply room

  • Perform regular walk throughs daily to make sure the space is in order

  • Open/close repair & maintenance related issues

  • Be part of rotation for reception duties

  • Coordinate intra office moves

  • Oversee the first aid kit refill vendor and towel/linen laundry service provider

  • Keep the Fire Safety team up to date

  • Frequently assess if the cleaning and pest control is being performed to standards

  • Set up new hire desks

  • Be the main poc for all food service requests, suggestions and coordination at your location

  • Ability to help out at one of the other locations if necessary

  • Event coordination set up as necessary

  • Consistently engage with Spotifiers

  • Develop partnerships with internal partners (IT and Security)

  • Be a problem solver and go-getter.

Who You Are

  • You have experience in office/facilities operations

  • You are innately passionate about the workplace experience

  • You are a customer service star – no requests are bothersome to you

  • You’re able to walk the space and see areas for improvement

  • You have heavy vendor management experience (HVAC, electrical, plumbing, etc)

  • You are highly organized.

  • You are an expert with Google Suite.

  • You are experienced with facilities ticketing system (JIRA experience preferable)

  • You’re an extremely articulate person who can write a professional email at the drop of a hat

  • You have a strong attention to detail

  • You are a critical thinker and problem solver who anticipates needs

  • You are professional, intelligent, considerate and able to interface with all types of people, both in person and by phone in a polished and friendly manner

  • You are proactive and motivated with a willingness to identify projects and dive in head first

  • You are able to prioritize and multitask – you are able to field a heavy volume of requests at once but never compromise quality

  • You use a methodical approach to getting stuff done, but also like to think creatively!

  • A team player—no matter how small the task may seem, you complete it with grace and a good attitude!
